Background

HEALTHCAREfirst approached Autymate to develop a technology solution to connect and integrate EHR data from its 350 hospice agency clients with their proprietary CRM solution with the goal of identifying high-value referral partners and while effectively managing and strengthening established referral source partnerships. This integration was of paramount importance as their hospice agency clients rely heavily on their medical providers to refer them patients, and therefore it was critical that their CRM could seamlessly track how many referrals the agencies received from specific providers. This functionality would enable their client’s marketing and sales departments to identify and nurture their highest value referral partners.

The Challenge

HEALTHCAREfirst’s biggest blocker to enabling the referral tracking feature was collecting and integrating the referral data from the agencies’ EHR systems. However, the referral data was not easily accessible because it stored in the client EHR which was located in a HIPAA secure environment under the scrutiny of heavy security audits. HEALTHCAREfirst had previously tried to securely integrate this data themselves by way of a secure VPN connection. However, the connection was unstable and experienced frequent interruptions, which frustrated their client’s already busy IT staff. They needed a better way to reliably retrieve the data from their client’s EHRs that was easy for their IT teams to set up and support.

Our Solution

Autymate provided HEALTHCAREfirst with an extraction tool for home health and hospice agencies that securely connected to their network via HTTPS protocol using 256-bit encryption. This allowed them to extract data from their EHR systems in a secure way that did not require a VPN connection or a port to be opened in their firewall, passing any security audit. Agencies who wanted to integrate their EHR with HEALTHCAREfirst’s CRM solution and could now walk through a simple installation wizard, install the tool, and begin extracting their referral data in just minutes. This made the process seamless for their clients, and their IT departments.
